Before you book the venue, you should keep in mind two very important things that will determine your choice: the budget available for venue hire and the number of guests.
There are two types of locations, those that guarantee you exclusivity by paying rent for the location, and those that do not.
If you have already decided on the location of the ceremony, try to stay within a 50km radius, otherwise you will have to organise transport for your guests.
If you have found the location of your dreams, before signing and paying the deposit, read the contract carefully, check the cancellation and refund clauses. Here are some questions you should ask before booking:
- Are the indicated prices inclusive of VAT?
- What are the payment terms and conditions?
- Will we have a person to run the day?
- Is the car park large? Where can they park?
- Is there a preparation room for the bride/groom?
- Do you have a stereo system? Or is it for hire?
- Is live music allowed? Until what time? SIAE rights?
- Do you have an in-house kitchen or do we have to use a caterer?
- Is the menu test included in the price?
- What is the cost per person and what does it include?
- Are drinks, before/after and during dinner, included?
- Can we choose wines other than those proposed?
- Is there a space for dancing and partying?
- Can we choose the plates, glasses and table linen? Is it possible to change them? Who would be responsible for renting different table linen?
- Until what time is it possible to stay at the location?
- Are there bedrooms available for the bride, groom and guests?
- Is the wedding cake included in the price? Can you choose it?
- Are there any restrictions on choosing suppliers? Some venues only work with caterers and suppliers who meet their standards and will not allow you to choose suppliers outside a “list” they have approved.
If your guests include people who are very old, in wheelchairs, visually or hearing impaired, or have dietary restrictions; think about a place that is prepared to welcome them safely and comfortably.
