How many invitations to order for your wedding? A practical guide to avoid mistakes
Among the first questions one asks when starting to design invitations is this:
“But how many invitations should we order for our wedding?”
There is often a tendency to think that one attendance is needed for each guest, but this is not the case! In reality, the number to be considered is the invited families or couples, not of individuals. But beware: there are also other factors to keep in mind to avoid surprises or last-minute reprints.
Here is a practical and comprehensive guide to calculating the right number of invitations for your wedding.

1. One participation per household (not per person)
The basic rule is simple: one participation for each address to be sent or delivered to.
If you invite a cohabiting couple, one invitation will suffice. If a family with children is invited as a single household, one will suffice in that case too.
Practical example:
You have 120 guests, but many of them are couples or families. You may only have to order 70-80 invitations.

2. Provide at least one extra 10-15%
It sounds like excess, but it is not. Order extra participations is a smart choice for several reasons:
- Writing errors in envelopes
- Last-minute invitations
- Invitations to keep for yourself or to send to those who cannot attend
- Spare copies for photographer, video or flat lay styling
The tip: always order 10-15 more participations than the final count.

3. Separate invitations for ceremony and reception?
If you are planning a ceremony with a few intimates and a wider reception, or you want to send different invitations for ceremony and party, then you will have to provide different inserts.
Again, calculate carefully:
- Who will only receive an invitation to the ceremony
- Who will also be present at the reception
- Possible invitations for extra events (post-wedding brunch, welcome dinner, etc.)
4. Don't forget your copies
Wedding invitations are part of the visual memory of your wedding. Keep some of them for yourself:
- One to put in the guestbook or album
- One for your wedding box of memories
5. Hand delivery still requires an envelope
Even if you plan to deliver some participations by hand, do not give up a neat envelope, as a traditional envelope or one printed translucent cover. Besides protecting the invitation, it adds a touch of elegance and completeness.
Many couples choose coloured envelopes, lined or with personalised calligraphy, making them an integral part of the graphic co-ordination.
Alternatively, you can opt for a translucent cover (in vellum paper, for example) as a wrapper. In this case, however, the name of the guest will not be printed, so I recommend adding a small tags with the name to be tied with ribbon or string to complete the whole in style.
6. Digital Participations: to be used judiciously
If you have distant or international guests, you may consider a digital version of the invitation. But beware:
- It does not replace the excitement of the paper invitation
- It must however be designed with graphic care
- Requires clear and consistent communication
You can use the digital version for those who will not be physically attending, or as a reminder to be sent close to the date.

In summary: how to calculate the right number?
Here is a mini-checklist so you don't go wrong:
- Count families, not individuals
- Add at least 10-15% more
- Consider different invitations for different events
- Don't forget souvenir copies
- Consider digital invitations only if they are well managed
Don't risk mistakes or last-minute reprints!
