When to send wedding invitations: a complete guide to timing

One of the questions I get asked most often by couples is: “When should we send out the wedding invitations?”

The truth is there's no one-size-fits-all answer: it depends on wedding season, from the Location, from the fact that there are guests arriving from far away, depending on the type of event you are organising and also on how you have decided to manage RSVP, website and useful information.

If you're planning a wedding and you're worried about moving too early or too late, you're in the right place!
Here you will indeed find a Timeline Simple to understand when to think about wedding invitations, sending Save the Dates, wedding invitations, and RSVP requests without stress.

A guide with Clear timelines, practical advice and some useful resources to organise everything more calmly.

When to start thinking about wedding invitations

First and foremost, one important thing to remember is that Send the invitations and to start designing them they are not the same thing. Many couples only think about invitations when they need to send them out, but in reality, it's better to start thinking about them several weeks before.

This allows you to have the necessary time to:

  • select the model or define the graphics
  • assess paper, envelopes and accessories
  • Receive previews
  • Make any changes calmly
  • print at your leisure

The best advice is to start getting organised a bit in advance, so that you can experience this phase more calmly and choose every detail with greater care.

When to send the Save the Date

The Save the Date It's for communicating the wedding date in advance, so that guests can organise themselves without stress.

It is particularly useful when:

  • the wedding is on Peak season (May–September)
  • takes place in a Tourist resort
  • there are guests who need to organise Travel and overnight stay
  • it is a destination wedding

Ideal timings

  • 8–10 months before, if many guests are coming from out of town
  • 6-8 months earlier, for more local weddings

For example, if you are getting married in June 2027, the Save the Date can comfortably be sent between August and October 2026.

It's not mandatory, but it's a really useful choice if you want to allow your guests to organise themselves calmly and arrive at the wedding without any hitches.

When to send save the dates timeline

When to send wedding invitations

Le wedding invitations they are the official invitation and contain all important information for your guests: Place, Times, possible Dress code, details on the Gift list, wedding website and modes of RSVP.

This is why it's important to send them with the right amount of notice: not too early, to avoid them being forgotten, nor too late, to avoid putting guests in difficulty with their arrangements.

Recommended timelines

  • 3 months before is generally the ideal timing
  • 4 months before if the wedding is in the summer or during a very busy period
  • 2 months prior only if all guests live nearby and do not need to arrange significant travel

However, if it's a destination wedding, it's better to send the invitations a little earlier, around 4–5 months before, especially if guests have to book travel and accommodation.

This way they will have enough time to:

  • organise holidays and travel
  • book hotel or transport
  • Confirm their attendance with greater peace of mind

Wedding invitation timeline

When to ask for confirmation (RSVP)?

La RSVP ideally it should be requested 30–40 days before the wedding.
It's a very useful timeframe as it allows you to organise the final phase with more peace of mind, when the practical details of the day really start to take shape.

In particular, confirmation by this deadline helps you to:

  • communicate the final number of guests catering
  • organise Table plan, placeholders and table layout
  • gather any Food intolerances, special requirements or last-minute changes

If you have chosen to create a wedding website or to manage the’RSVP in digital format, this step can become much simpler and tidier, both for you and for your guests.

The advice? Always include a data is confirmed already in the participation or on the website, so as to avoid scattered or too late replies.

What NOT to do

There are a few mistakes that I see very often every year, and which risk creating unnecessary stress, delays or rushed decisions.

Among the most common are:

  • Send the invitations Too soon for example 6 months earlier, with the risk that many guests will forget)
  • to go to print just one month before the wedding
  • to wait to have every detail perfectly defined before starting the graphics
  • underestimate the time needed for Previews, modifications, approval and production

The truth is that wedding stationery needs its own time. Between design, layout, sending previews, any changes, and final printing, it's always best to consider At least 4–6 weeks of processing.

The best advice? Get a move on a bit in advance, so you have time to choose everything calmly and without leaving things until the last minute for the invitations.

Ideal Timeline (Practical Summary)

In conclusion, to make it easier, it can be useful to have a small Reference timeline.

If, for example, you get married on 15 June 2027, could you organise yourself like this:

  • September 2026 → sending of Save the Date
  • February–March 2027 sending INVITATION
  • Late April 2027 → deadline for the Confirm RSVP
  • May 2027 last details, coordination and table

Following a clear timeline helps you navigate the organisational side of things more calmly, leaving you time to choose every detail carefully without leaving invitations to the last minute.

Frequently asked questions about Save the Dates and invitations

If you still have any questions, you’ll find the answers to the most frequently asked questions here.

  • A "Save the Date" is a preliminary announcement of a wedding, sent out to guests well in advance of the official invitation. Its sole purpose is to give guests advance notice of the date so they can mark their calendars and make any necessary arrangements, such as booking time off work or travel. A "partecipazione" (which translates to invitation) is the formal, official invitation to the wedding. It provides all the essential details about the ceremony and reception, including the date, time, venue, and usually an RSVP request. This is the document that guests will use to confirm their attendance.

Save the Dates and wedding invitations are not the same thing, and they are not sent out at the same time.

The Save the Date simply serves to communicate the wedding date in advance, especially when guests need to arrange travel, time off, or accommodation.
The invitations, however, arrive later and contain all the official details: location, times, any dress code, RSVP, website and useful information for the day.

In short: communicate the date first, then send all the details.

  • Can I send a digital Save the Date?

Yes, especially if you want to communicate the date quickly and immediately.

Many couples opt for a mixed solution: a digital Save the Date accompanied by paper invitations, for a more complete and elegant result.

  • Which is better, hand-delivering or posting invitations?

When possible, hand-delivering invitations is always a beautiful choice. It allows the invitation to become a small moment to be shared together, personally conveying the excitement of the wedding to those closest to you.

Naturally, it's not always practical to do this with all guests, especially if they live far away or if the number is high. In these cases, the simplest solution is often a mix: hand-delivery for those nearby, and posting for everyone else.

  • Can I manage everything online with a wedding website?

Yes, it is absolutely possible and increasingly common.
That said, print remains the most emotional, tangible and memorable element, capable of truly telling the style of the wedding.
